Vendor Information

Please read the following very carefully, as every vendor will be held accountable to these rules and regulations.  

1.    To attend the RPCE, a vendor must register with the vendor manager at least 2 weeks prior to the RPCE.  At this time they will list all items that they intend to sell for approval by the RPCE Committee.  A site map, a copy of the Vendor policies & guidelines, and the recycling rules will be given to the vendor at this time.  

2.    All items must be handmade or hand crafted.  RPCE prohibits the sale of “buy and sell” products (commercially produced products).  Violators will be asked to leave the RPCE immediately.  

3.    Booth Fee and Collection.  Booth fee will be $20.00.  Booth fee collections will begin at   8:00 AM on Saturday morning.  Please have the exact amount prepared by 8:00 AM.  Waiting to “make your booth fee” is not allowed.  

4.    Parking.  Parking is a big issue at the RPCE.  All vendors are required to park their vehicles well away from the RPCE.  There is plenty of parking to the north, overlooking the Park and also at the Lyle Post Office, one block south of the Park.  A map will be included with your vendor information.  Follow these rules.

Do not park on any of the streets that border the Park.

Do not park in the lot east of the Park as this is reserved for handicapped parking.

If you are confused as to where to park, please consult with vendor manager.     

If you park in an inappropriate place, you will be asked to move your vehicle by the vendor manager. 

5.     Booth spaces are approximately 10’ X 15’.  The vendor manager will assign the booth spaces.  The vendor manager reserves the right to alter booth size based on available space and the market’s overall design plan.  You must be on site by 9:00 AM to receive your requested booth space.  

6.     SET UP TIME.  Set up starts at 8:00 AM and vendors must be present by 11:00 AM.  If a vendor requests a specific booth space, it will only be held until 9:00 AM.  After 9:00 AM the booth space will be re-allocated at the vendor manager’s discretion.  All vendors will be held to this rule.   

7.     SET UP PROCEDURE.  When you arrive at the RPCE, go to the Information Center to locate the vendor manager and receive your space assignment.  Then proceed to your booth space, unload your car, and then remove your car from the park area as quickly as possible.  PULL UP, UNLOAD, PARK!  Do not set up your booth until you have removed your car from the park area.  

8.     VENDING FROM YOUR VEHICLE will only be allowed with prior approval from the RPCE Committee.  

9.     BOOTH TEAR DOWN will begin at 5:00 PM.  The RPCE is from 12:00 Noon to 5:00 PM.  Early departure is not allowed.  

10.   Returned Checks. A $20.00 fee will be assessed on each check returned to the RPCE for Insufficient Funds.  Either cash or money order (original booth fee, bank fees, plus the Returned Check Fee) must cover the Insufficient Funds check before that vendor will be allowed to return to the RPCE.  The vendor manager will determine if the vendor can return to paying by check, or be on a cash only basis.  

11.   Weather and Wind.  Our RPCE is an all weather event. Be prepared for rain, sunshine, high winds or heat.  Lack of preparation does not justify early departure.  Contact the vendor manager for advice and help prior to your RPCE appearance.  Each vendor is required to have appropriate weights for their tents and tables.  For example, a 35lb cinder block for each leg of your tent and tables may be sufficient weight.  As well, vendors must prevent merchandise and displays from blowing over and injuring customers or other vendors.  

12.   Pets.  Vendor pets are not allowed at the RPCE.  

13.  Boom Boxes at individual booths are not allowed during the RPCE hours of operation.  

14.  There are no electrical connections.  

15.  Trash.  See the RPCE Vendor Recycling Information sheet.  

16.  Product Liability.  The RPCE does not assume responsibility for product liability.  Vendors are encouraged to purchase their own liability insurance.  

17.   Licenses.  All applicable licenses must be posted in plain view at all times.  Vendors selling any food product must be licensed prior to their appearance at the RPCE, and your food product must be produced in a licensed kitchen.  Vendors selling any processed or prepared food product must submit copies of their food preparer or processor license with their RPCE registration.  The license must be current at the time of registration, and be maintained current throughout the RPCE event.  

18.  SUGGESTIONS, COMMENTS, IDEAS.  The RPCE Information Center will have a box where you may deposit suggestions, comments, ideas or grievances in writing.  The RPCE Committee will review your submission at their monthly meeting (dates and location will be posted at www.riverpeoplesculturalexchange.org).  Needed responses will be made within seven working days of each Committee meeting.  Suggestions, etc. can also be submitted in writing to the River Peoples Cultural Exchange PO Box 952, Lyle, WA 98635 or through a link at the website.  Vendors must discuss their grievances with the vendor manager before taking matters to the Committee.  

19.   Non-profit organizations and their activities that benefit the community shall be allowed at the RPCE, as space is available, at no charge.  As well, non-profit groups must fit in with the overall atmosphere of the RPCE.  The RPCE reserves the right to judge if the non-profit’s activities “benefit the community” as well as “fit in with the overall RPCE atmosphere”, and if said non-profit may participate in the RPCE.  Products being sold by the non-profit must directly benefit the organization.  The RPCE graciously accepts booth fee donations from non-profit groups.    

20.   The RPCE reserves the right to review and implement other policies and guidelines as needed.
